Nexus Upgrade – What is happening?

— PLEASE READ CAREFULLY —

I thought I would just send my own take on what is happening with Nexus over the next month or so, as OUCS’s messages do seem to be confusing people unnecessarily.

WHAT IS HAPPENING?
The Oxford Nexus service is being upgraded to Microsoft Exchange 2010. The upgrade brings many benefits, including a better web interface for many users. Because of the number of email users within the University the upgrade process will be staggered. This means that there is an added complication that two systems will need to co-existent (Exchange 2007 and Exchange 2010) which isn’t ideal but it should only be for a few weeks.

WHAT IS HAPPENING WHEN?
Tuesday 14 February 2012 – between 7am and 9am
There will be NO Exchange service (email, calendaring etc) between 7am and 9am.
Avoid using email or calendars between these times. Close all email and calendar programs.

Mac OS X Snow Leopard and Lion users using Apple Mail, iCal and Address Book via Exchange Web Services (EWS)
Apple Mail will need to be reconfigured – http://www.oucs.ox.ac.uk/nexus/upgrade/index.xml?ID=applemail

OR
Apple users can just use the new web interface until your mailbox is transferred to Exchange 2010 sometime in March.

NEW NEXUS Web interface will move to – https://owa.nexus.ox.ac.uk
(Please update your bookmarks and web browser favourites)

Thursday 16 February 2012 – between 7am and 8.30am
Some users who use IMAP settings to pickup their email from Nexus may experience some connection problems from 16 February if their settings are different from what OUCS recommend.

Please double-check your IMAP settings BEFORE 16 February so that you don’t have problems once the upgrade process starts. Just follow the full instructions for configuring your email client correctly here – http://www.oucs.ox.ac.uk/nexus/email/clients.xml
Don’t be surprised if your email client is already correctly configured – but please do check before 16 February! 🙂

20 February 2012
Early Adopters will be transferred to Exchange 2010.

From 5 March 2012
The main body of the University will begin the transfer to Exchange 2010. Upgrades will be broadly run based on the Primary Affiliation of the mailbox, therefore Academics and Postgraduates will be upgraded with their Faculty.

WHEN WILL COLLEGE MAILBOXES BE UPGRADED?
College Staff Mailboxes – between 16 March and 21 March 2012
All upgrades will take place between 10:00pm and 8:00am.

Undergraduate Mailboxes – between 26 March and 30 March 2012
All upgrades will take place between 10:00pm and 8:00am.

WHEN EXACTLY WILL “I” BE UPGRADED?
At least seven days before your mailbox is upgraded the Nexus Team will contact you with an exact date and instructions.

I hope you find the above useful.
